PRIVACY COLLECTION NOTICE
Learning Management System (LMS) and integrated educational technologies
Why we collect your personal information
We use a central Learning Management System (LMS) and integrated educational technologies to support the delivery
of educational programs to staff, contractors, members of congregations and others who may be invited to use the
LMS from time to time. This privacy notice applies to educational technologies centrally licensed and managed by
The Uniting Church in Australia Property Trust (N.S.W.) ARBN 134 487 095 for The Uniting Church in Australia
Synod of NSW & ACT ABN 82 492 408 686 and The Uniting Church in Australia Property Trust (Victoria) for The
Uniting Church in Australia Synod of Victoria and Tasmania ABN 39 703 442 583 (“we”, “us” or “our”).
We collect your personal information using these technologies to:
- enable access and use of online teaching and learning tools;
- support the creation of flexible, interactive, and engaging online learning spaces among users of the LMS;
and
- administer the delivery of online course content and activities, which may include teaching, marking,
examinations, and assessments.
What personal information about you do we collect?
We collect personal information directly from you when you register to use the LMS and throughout your use of the
LMS. For example:
- identifying information needed to enable Single Sign-On to the LMS and integrated educational technologies
(e.g. name, email address, username);
- information you provide by using the LMS and integrated educational technologies (e.g. audio, video and
written material created during online participation or assessment, which for avoidance of doubt may include
collection of still images, voice recording, and video footage of you and the location where you access the
LMS);
- your synod, presbytery and/or congregation;
- your role (ordained, appointed leader, etc); and
- any other identifying information that you enter or submit into the LMS so that we can engage with you for a
legitimate business purpose associated with the LMS.
Disclosure of personal information
Your personal information will be used by our authorised staff for the purposes for which it was collected (as
specified below), and may also be made available to third parties for course administration and teaching
purposes. Some information you provide can be viewed by other users when logged into the LMS to enable group
learning activities.
We may share your information with other parties who provide services to us including organisations, agents,
partners and contractors that assist us in providing online course delivery. By using the LMS, your personal
information may also be collected directly by these parties and shared with us.
Purposes of collection of personal information
We may use the above personal information about you that we collect for one or more of the following purposes:
- to provide you with access to learning materials for courses or modules in which you are enrolled, and to
enable teaching and learning;
- course administration, including keeping records of course enrolment and completion and any continuing
education requirements that have been met or may need to be met in the future;
- to communicate with you in relation to any of the above;
- for any related purpose associated with the LMS;
- as may be required or otherwise permitted to be disclosed by law, including but not limited to disclosure
made pursuant to the terms of the Australian Privacy Principles and/or European Union General Data
Protection Regulation (where applicable), further to a Court order, or in compliance with the lawful
direction of any government authority.
What happens if we do not collect your personal information?
If you do not provide the above personal information, it may not be possible for you to complete any modules or
courses on the LMS or participate in any related activities.
Accuracy, security and storage
We take all reasonable steps to ensure that the personal information we hold about you is accurate and complete,
and use a combination of technical and organisational security measures to protect personal information which is
transmitted, stored or otherwise processed by us or on our behalf from accidental or unlawful destruction,
misuse, loss, alteration, unauthorised access or disclosure.
We endeavour to ensure that your personal information is only retained for as long as is required to fulfill the
purposes for which it was collected, and in accordance with our legislative obligations.
Your personal information will not be transferred outside Australia.
Privacy Act and your rights
Our privacy obligations to you are governed by the Privacy Act 1988 (Cth) (‘the Privacy Act’), when
collecting and managing your personal information. We are committed to protecting your privacy and processing
your personal information fairly and lawfully in compliance with the Privacy Act.
We will only use your personal information for the above purposes or if we have some other lawful reason to do
so, such as when it’s our legal duty or when we have your consent.
You may request access to, or correction of, personal information we hold about you, or exercise other individual
